The team comprises of 35-40 people across 13 countries, working virtually through predominantly remote and async means. 

About the Role

This is a brand-new role. The CEO has not had an EA before, which means the right candidate has the opportunity — and the responsibility — to shape it from the ground up.

A structured time audit has informed exactly what this role needs to do. The CEO currently spends a significant portion of each morning on inbox noise and low-priority administrative decisions, which pushes deep work into the evening. The primary job of this role is to clear the morning. If the CEO can do focused work in the first half of the day and is not working evenings to compensate, the EA has succeeded.

This is not a traditional "do what you're asked" support role. It requires genuine judgement, the ability to act autonomously within agreed parameters, and the confidence to manage calendar and inbox decisions without waiting to be told.

Key Responsibilities

Inbox and communications management

  • Triage the CEO's inbox daily, flagging items that require attention and handling or drafting responses to routine correspondence within agreed parameters
  • Manage high-volume communication across email and Slack, maintaining a clear and organised inbox
  • Chase outstanding actions and ensure follow-ups are completed

Calendar and diary management

  • Own the CEO's calendar end-to-end: scheduling, rescheduling, resolving conflicts, and protecting blocks of focused work time
  • Coordinate meetings across multiple time zones, including with US-based stakeholders during late-afternoon and early-evening overlap windows
  • Apply standing calendar rules consistently and flag edge cases asynchronously rather than seeking approval for every decision
  • Act as a confident gatekeeper - pushing back on meeting requests where appropriate and proposing alternatives

Document preparation and research

  • Prepare briefing notes, pre-reads, and background research ahead of strategic calls, external partner meetings, and board engagements
  • Draft agendas and capture follow-up actions
  • Support preparation of materials for board communications and the CEO's interactions with external partners, funders, and senior stakeholders

Travel, logistics, and expenses

  • Manage travel arrangements, logistics, and expense reconciliation
  • Assist with practical local logistics as needed, given the Cambridge base

Internal coordination

  • Liaise with operations and people functions to route queries, approvals, and information flows that do not require the CEO's direct involvement
  • Track and follow up on actions from key meetings and commitments

Daily check-in

  • Hold a short daily sync with the CEO (15-20 minutes, around 10-10:30 am UK) to align on priorities and flag anything requiring attention that day - this is the only fixed overlap requirement in the role

What You Bring

Essential

  • Proven experience supporting a CEO, founder, or director-level leader in an EA or senior PA capacity
  • Demonstrable experience working remotely and managing autonomously without in-person oversight
  • Strong diary management skills, including high-volume coordination across time zones
  • Confident gatekeeper - able to prioritise and protect an executive's time, challenge incoming requests, and exercise judgement without escalating every decision
  • Highly organised with exceptional follow-through and attention to detail
  • Excellent written communication skills, including the ability to draft correspondence that accurately represents the executive's voice and tone
  • Discreet and professional, with experience handling commercially and personally sensitive information
  • Comfortable working with a tech-forward leader and a remote-first, tools-heavy environment
  • Proficient with AI tools for drafting, research synthesis and document preparation - this is an expected capability, not a bonus

Desirable

  • Experience supporting senior leaders in a not-for-profit, mission-led or tech organisation
  • Familiarity with governance contexts - board engagement, philanthropic funders, or senior external partners
  • Experience building or designing an EA function from the ground up
  • Cambridge-based or able to attend in person approximately once per week

Working Pattern

The role is contracted at 22.5 hours per week. Endless Access encourages schedule flexibility, but an ideal day would be structured as follows:

  • 9:30 am-1:30 pm, Monday to Friday (20 hours) - core working block covering all async tasks, document preparation, daily check-in, and calendar management
  • A paid 30-minute evening email check at approximately 8 pm each weekday (2.5 hours) - to triage anything that has arrived during the 4-7 pm meeting block, so the CEO starts each morning from a clear position

Where both parties are Cambridge-based, a regular in-person working session of approximately half a day per week is the aspiration - ideally a fixed slot rather than arranged ad hoc. The role can function fully remotely, but Cambridge-based candidates or those able to travel in regularly are strongly preferred.
