Title: Executive Assistant / Business Development Coordinator 
Location: Based in-office 5 days per week, London
Contract: Temporary 12 month contract, full-time Maternity Cover
Overview:
We are looking for an energetic and resourceful EA / Business Coordinator to support the two founders (CEO and CCO) of Nexus Studios, based in Shoreditch, London across their new business development activities.
Working in a busy production environment, you will be highly organised and able to handle multiple tasks and changing priorities. You will be comfortable scheduling meetings, responding to high profile clients’ emails on the executive’s behalf, note taking in meetings and strategically follow up on next steps. Being a key representative of the company, you will anticipate needs and take pride in ensuring administration and communication runs smoothly. It is our hope that your role will develop as your understanding of the company grows and you start being able to follow up on conversations independently with a strategic understanding of the founders’ goals.
You will also arrange events and be involved in high profile conversations across the whole multidimensional company’s offering from short form content to immersive experience and longer form, working on existing and new opportunities across entertainment, music and sports content. Your day will also involve anything from research, proofreading, digital presentation decks, meetings preparations, talent and writers coordination and more.


Requirements

Key Duties:

- EA

  • Complex diary management and daily schedule coordination for the CEO and CCO. Proactively manage and maintain the Executive’s busy calendars, scheduling internal and external meetings across multiple time zones, and ensuring they are prepared for all engagements.
  • Arrange and prepare meetings (in-person or virtual) including tech set-up, preparing agendas, distributing pre-reading materials, taking minutes, and tracking action items to ensure timely completion.
  • Managing travel bookings and itineraries
  • Filing of expenses and receipts
  • Be a key liaison between all departments and founders
  • General administrative support as and when required

- Business Development Coordinator

  • Research tasks on a broad range of subjects including projects, clients, talent, industry activity and events
  • Create and present research findings
  • Working with the relevant teams on planning external presentations and events. This will require liaising with the external contacts and internal teams and tailoring portfolio deck presentations for new business meetings.
  • Aide executives in preparation of presentation decks, coordinating with wider teams as necessary
  • Attend meetings and take notes, providing follow up actions
  • Maintaining internal databases for new business activities covered

- Requirements

  • Strong all-round EA and coordination experience and skills are essential (organisation, management, coordination) alongside discretion at all times. 
  • Experience in multi-tasking and time management across a broad range of activities 
  • Experience in dealing with both staff and external contacts, talent and clients
  • Articulate with excellent interpersonal skills and
 ability to work collaboratively 
  • Strong written communication 
  • Fully computer literate with all round Google Suite skills (email, slides, docs, sheets, drive), familiarity with Apple hardware and Keynote a plus
  • Proactive, attention to detail and ability to work in a fast paced environment 
  • A passion for animation, film, culture and immersive content and an entrepreneurial spirit is a must
