In this exciting and challenging position as an Executive Administrative Assistant you work closely with the direct leadership team responsible for driving the commercial agenda for all outside US markets around the World.
To be successful in this role, you have affinity with administrative tasks, work accurately and like to work structured. You are a distinct team player, who’s able to build relationships with colleagues, and have excellent communication skills. Managing several tasks, priorities and projects at once poses no problem for you. These skills enable you to drive improvements and tackle possible resistance. Responsibilities may include the following and other duties may be assigned:

  • Provide proactive administrative support, including preparing communications, scheduling and coordinating meetings (across 10 time zones) and actions
  • Manage business travel (regional and international) and correlated expenses
  • Organizing complex meetings, demonstrating capability in audio conferences, video conferences, and a mastery of other technology as needed. Plan, prepare and coordinate special meetings including agendas, meeting materials, logistics, create meeting minutes, manage agendas, track actions, travel and catering. 
  • Support the Pelvic Health (PH) international leadership team on special projects and coordinate events and team meetings (either hybrid or in person, including quarterly Town Hall meetings)
  • Support PH international communications strategy, coordinating with marketing team for regular updates of SharePoint HUB to coincide with newsletters ensuring consistent communication
  • Maintain current organizational charts and ensure email distribution lists are up to date as well as create Purchase Orders 
  • Work independently, anticipating next steps, taking initiative, exercising discretion and sound judgment to ensure the leader and team are well-prepared for all elements of their daily and weekly schedule. Demonstrate learning agility and be able to pivot to accomplish tasks and assignments quickly

Required Knowledge and Experience:

  • 3+ years of administrative or event management experience
  • Project management skills
  • Fluency in English both verbal and written
  • Strong communication and organizational skills and an ability to juggle multiple tasks 
  • Positive mindset and attitude with a can-do attitude
  • Advanced user of MS Office – Outlook, PowerPoint, Excel, Word
  • Ability to travel internationally 5-10% of the time 

Bachelor’s degree is preferred. Someone capable of exercising independent judgment and discretion as well as demonstrate complex problem-solving skills and work well under pressure in a dynamic environment will have an advantage. We are looking for someone flexible and agile with good analytical and organizational skills, strong teamwork and collaboration skills and an ability to balance multiple time-sensitive tasks. Being an advanced user in Virtual Meetings and webinars and knowledge of Ariba & Concur would be an advantage.
