Aibidia is seeking an experienced Events Manager to lead the planning, execution, and evaluation of our events strategy. In this role, you’ll play a pivotal part in building brand visibility, engaging stakeholders, and delivering memorable experiences that align with our mission of driving innovation in Transfer Pricing.

Key Responsibilities:

  • Industry Event Coordination: Manage our presence at major industry events throughout the year. When sponsoring an event we will have attendees, a stand, branding opportunities, speaking slot(s) and social activities for clients in the evening – you'll lead on all these. Design and produce booth materials, ensuring merchandise there, coordinate shipping. You’re the primary point of contact with external stakeholders for operational detail & logistics.

  • Roadshow Planning and Execution: Plan and execute with partners on roadshow style events (smaller than industry events). Secure venues, define agenda/content and collaborate with Sales + selected Partner on target attendee lists. Coordinate/lead on all event logistics, catering, AV setup, on-site branding, content/speaker prep (with Product Marketing) and promotion (with Digital Marketing).

  • Smaller Roundtable Style Planning and Execution: Liaise closely with Account Execs’s covering various geographies, subject matter experts and our product team to run/facilitate smaller ABM (a handful of targeted accounts) style events. Lead on event plan, including venue selection, coordinating attendee outreach with AEs, tracking registrants and defining/helping create required content.

  • Digital Event Coordination: Plan and coordinate a digital events schedule that covers both thought leadership and product showcase style discussions. We use Livestorm for this.

  • Stakeholder Collaboration: Speaker preparation support. Liaise with AE’s and Customer Success to identify high potential attendees (prospects and customers) to support pipeline goals. Partner with Product Marketing to support on our digital showcase events as well as content/demos for physical events. Partner with Digital Marketing for event promo, social updates, and lead capture/reporting processes. Maintain calendar of events, deadlines and key deliverables to share across the company.

  • Event Promotion, Attendee Engagement and Follow Up Strategies: Lead on planning for event-related comms/campaigns including email copy/invites, and post-event follow up plans. Ensure branded merch available and at all our events. Work with other functions on targeted invite lists and tracking RSVPs.

  • On-Site and Virtual Event Execution: Open to travel across Europe to be on-site at events to take point on logistics/on the ground/on the day. Resolve issues quickly and ensure a smooth experience for all involved.

  • Event Analysis & Reporting: Lead on event wrap-up sessions so everyone is aligned on follow up plans. Gather anecdotal feedback to support data driven insight to assess event effectiveness/areas for improvement. Prepare post-event reports to summarise event effectivness and contribution to pipeline.

  • Innovation: Propose new ideas, try new things at events. Look for ways to enhance attendee experience and make their engagement with us memorable for the right reasons.

  • Monitor and maintain events budget.

Skills, Knowledge and Expertise:

  • Several years of Events design, coordination and execution experience, in a B2B environment where stakeholder collaboration and coordination has been key and where a ‘high-quality’ perception/experience has been important for the brand.

  • Leading on logistics for events (i.e. securing AV equipment, coordinating shipping, agendas, venue identification). Experience of shipping materials across Europe.

  • Coordinating a brands presence at large industry events where we have sponsorship.

  • Leading on internal stakeholder coordination so everyone is clear on their role and what’s happening.

  • Designing smaller, company-owned events in conjunction with Sales and Product teams.

  • Running digital webinar-style events such as fireside chats, panel discussions and product showcases/demonstrations.

  • Led on reporting of event performance and knows how to translate these KPIs into business outcomes

Nice to have experience:

  • Worked as part of a wider Marketing team, not just an events team.

  • Managing branded merchandise inventory.

  • Managed an events budget.

  • Helped shape an events calendar (i.e. identify, evaluate and select, not just execute what’s given/chosen already).

  • Looks for ways to iterate and innovate to improve event experiences and outcomes.

  • Strong verbal, written and presentation communication skills.

  • Livestorm and Salesforce experience.

  • Community building – to help secure external speakers for digital events and physical events.

  • C-Level/Exec Team stakeholder collaboration.
