About the Role

The Office Administrative & Events Assistant will provide essential support to the smooth running of the Delta40 studio. This entry-level role combines general office administration, event logistics, and community support. The ideal candidate is organised, proactive, and eager to learn, with a strong ability to create a welcoming and efficient environment for staff, visitors, and community members.

This position will be based in the Delta40 office in Nairobi, Kenya, and will work closely with our team.

Key Responsibilities

As the Delta40 Venture Studio is new, this role may change as the needs of the organization change. To begin, this role  will have the following responsibilities:

Office Administration

  • Maintain a clean, organised, and well-functioning office environment across all common and leased spaces, in coordination with cleaners, security teams, maintenance personnel, and other service providers
  • Manage office supplies, simple procurement, and small operational expenses within the monthly budget.
  • Maintain accurate administrative records including vendor files, service logs, office documents, and inventory logs.

Community & Guest Experience

  • Welcome and assist visitors, partners, and community members, ensuring a positive and professional experience.
  • Support small community engagement activities, attendance tracking, and follow-up actions.
  • Liaise with portfolio companies and partners such as Turaco on shared space needs and small community-related tasks.

Event Support

  • Assist in planning and coordinating small studio events, workshops, meetings, and internal activities.
  • Support event logistics such as room setup, refreshments, materials preparation, guest registration, and on-site assistance.
  • Manage attendee tracking, basic AV needs, and registration systems.
  • Track event-related expenses, collect feedback, and prepare short post-event summaries.

Administrative & Executive Assistance

  • Support the team with calendar scheduling, appointments, and meeting coordination.
  • Assist with simple travel planning including research and booking of flights, accommodation, and local transport.
  • Manage routine data entry tasks including expense logs, receipts, and administrative trackers via Boya
  • Assist in preparing documents such as letters, slides, and meeting notes.

Reporting & Tracking

  • Maintain trackers for office supplies, operational spend, event attendance, and studio activities.
  • Prepare short weekly updates summarising key activities, spend, and upcoming office needs.
  • Collect and organise data to support operational and community improvements.

Qualifications & Skills

  • Diploma or undergraduate degree in Business Administration, Hospitality, Communications, or a related field Strong organisational and time management skills.
  • Warm, professional communication and customer service abilities.
  • Proficient in Google Workspace or Microsoft Office.
  • Willingness to learn, take initiative, and support a dynamic, fast-paced environment.
