Shifts: 40 hours per week, Monday – Friday, 9am until 6pm with 1-hour unpaid lunch break (flexibility required during early morning and late evening events)

Purpose of role
The Corporate Events and Hospitality Co-ordinator is responsible for supporting the planning, coordination, and delivery of corporate meetings, events, and VIP hospitality experiences. This role ensures smooth operational execution across catering, room set-ups, AV/IT requirements, and concierge services while maintaining high standards of client service. The Co-ordinator works closely with Front of House, Hospitality, Facilities, Business Development, and other client stakeholders to deliver a seamless “one team” experience.
Key responsibilities
Events & Hospitality Support
- Assist in planning and executing on-site meetings, corporate events, and VIP engagements in collaboration with Concierge and Hospitality teams.
- Support all event logistics, including room bookings, IT/AV set-ups, catering, attendee registration, transportation, and on-site coordination.
- Help curate visually appealing and client-aligned event layouts and experiences.
- Act as a point of contact for internal teams, client stakeholders, and vendors during events.
- Maintain event calendars to ensure accurate scheduling and resource allocation.
- Communicate client-specific needs to relevant Williams Lea contacts before and during events.
Catering & Guest Experience
- Support catering arrangements, including placing orders, monitoring dietary requirements, and assisting with menu planning.
- Help ensure food safety, allergen management, and chain-of-custody compliance.
- Assist with arranging first aid/fire warden cover as required for events.
- Monitor hospitality stock levels and support stock control processes.
Vendor & Operational Support
- Assist with managing vendor delivery and service quality in line with event requirements.
- Support risk assessment, permit raising, landlord liaison, and compliance activities as directed by senior staff.
- Help monitor timelines, deadlines, and regulatory requirements during events.
Feedback & Continuous Improvement
- Collect feedback from attendees and internal stakeholders post-event to support continuous improvement.
- Contribute ideas to improve operational efficiency and client satisfaction.
- Maintain accurate records of events, catering, and related administrative tasks.
Personal attributes
- Minimum 1–2 years’ experience in corporate events, hospitality, or operational support in a professional services environment.
- Hands-on experience coordinating meetings, events, or VIP hospitality.
- Basic knowledge of catering operations, dietary requirements, and food safety.
- Experience liaising with vendors and internal stakeholders.
- Organised, detail-oriented, and able to manage multiple tasks simultaneously.
- Strong problem-solving skills and ability to adapt quickly to changing priorities.
- Excellent communication and client service skills.
- Proficiency with Microsoft Office (Outlook, Excel, PowerPoint); familiarity with booking or event management systems desirable.
- Professional, discreet, and able to handle confidential information appropriately.
- Flexible and willing to support events outside core business hours, including evenings or occasional weekends.
