What You’ll Do

The Coordinator, People & Culture ensures smooth operations of the Business Partnering and Talent Acquisition function for the EMEIA-based team.

The Coordinator, People & Culture performs day-to-day Human Resources activities by providing a broad range of support to ensure employees, processes, programs, and policies are aligned and optimised to achieve company goals.  This role supports the functional areas, including but not limited to employee relations, HR data analysis, onboarding, benefits, compensation, compliance, employee experiences, talent acquisition and performance management, while promoting diversity, equity, and inclusion across all people-related practices.

What You’ll Be Working On:

People & Culture Business Partnering Support

  • Provide administrative support that includes preparing documents, managing schedules, recordkeeping, event coordination, and tracking budgets/ expenses.
  • Support the P&C annual programs such as the performance feedback process and compensation planning. You will be responsible for calendar and communication administration, preparing/updating reports ensuring data is accurate and up to date, reviewing materials, and partnering with other People & Culture teams to execute.
  • Review employee files and establish systems to ensure they are accurate, up to date, and well-maintained.
  • Support projects, as needed, which may include systems implementations, presentations, and new employee programs.
  • Assisting with preparation for and notes from Employee Relations meetings
  • Assisting in the communication, interpretation, and upkeep of employee handbook, employee directory, organisational charts, and physical and digital files; and contributing to developing policies and procedures.

People Operations

  • Manage data in Authentic’s HRIS and other employee systems, paying particular attention to ways to improve efficiency and increase functionality.
  • Liaison with employee benefits provider to ensure all new starters are enrolled onto appropriate plans and leavers are removed upon employment termination and ensuring that any changes to salary, address, titles are communicated on a timely basis.
  • Send monthly pension summary data reports to benefits provider to ensure correct awards are made.
  • Monitor timelines around renewals, market reviews, benefit refresher presentations etc. and become the first point of contact to advise on employee benefits.
  • Liaising with managers to ensure Authentic’s HRIS is kept up to date with all absences such as work from home

Talent Acquisition & Onboarding

  • Support Talent Acquisition by posting jobs, scheduling interviews, and coordinating new hire onboarding
  • Maintain our job description library in partnership with the Talent Acquisition team.
  • Prepare for review all new starter employment documentation such as: employment contracts, offer letters, onboarding materials and more.
  • Partner with Operations and IT to ensure new hire setup is complete
  • In partnership with the team, coordinate customised onboarding plans for new hires
  • Maintain the new hire onboarding master deck, soliciting new global content that is both informative and engaging
  • Work with the team to monitor ongoing employment requirements across our region
  • Working on various talent-related projects such as assessment centres, candidate feedback surveys, employer branding operations and interviewer training initiatives to name a few.

Authentic Campus

  • Partner with Talent Acquisition, to develop and deliver our internship program each season.
  • Manage the screening process for our interns and keep hiring managers informed of recruiting efforts.
  • Manage the intern on- and off-boarding processes including survey and in-person new hire check-ins and exit meetings, as well as timetable scheduling and event planning.

Employee Engagement

  • Manage the new hire and exit surveys in CultureAmp. Ensure they are distributed in a timely manner and flag responses that need Business Partner attention
  • Craft and distribute EMEIA employee email communications regarding holiday closures, P&C events and programs, and other messages.
  • Recommend and develop employee-centric programs and processes to assess and monitor engagement, that reinforce both cultural/CHAMP values elements.

It is expected that the duties of this position will change and evolve as you grow in this role. Other responsibilities may be assigned as needed.

What You’ll Have:

  • Minimum 1-3 years of experience in an administrative or HR-focused role
  • An awareness of and interest in employment law and organisational best practices.
  • Self-starter attitude with the ability to work independently in a fast-paced environment
  • Creative problem-solver with sound judgement and critical thinking
  • Ability to maintain confidentiality and discretion on sensitive matters, and act with integrity and professionalism
  • Ability to be detail-oriented without losing sight of the big picture
  • Ability to drive results and work with urgency to develop a track record for meeting and exceeding goals.
  • Able to exercise practical judgment, sensitivity, and creativity to changing needs and situations.
  • Ability to be self-directed and work independently and in a team environment.
  • Excellent communication skills, written and verbal, with close attention to detail and execution excellence.
