Role background
A vacancy has arisen for an individual to support the COO Office. The COO Analyst provides day-to-day support to the Chief Operating Officer (COO) and Chief of Staff to COO in the effective running of the COO Office and the Infrastructure function.
The role is primarily business-as-usual (BAU) focused and is designed to provide structured, reliable support across reporting, governance, process maintenance and operational coordination. The COO Analyst plays a key role in ensuring information is accurate, actions are tracked and followed up, and routine operational activity across the COO Office and Infrastructure runs smoothly.
This role provides exposure to senior stakeholders and core operational activity, while not holding decision-making responsibility. It is a foundation role with clear scope to develop over time.
Main responsibilities
- Provide day-to-day operational support to the COO Office and support the coordination and smooth running of COO Office BAU activity
- Producing regular management information reports covering the Infrastructure Team for use by team leaders and senior management. This will cover business metrics, performance and risk indicators
- Manage small initiatives within Infrastructure. This may include collation and documentation of requirements, coordinating with teams across the Division, tracking actions and providing updates to management
- Seek opportunities for process improvements across Infrastructure to increase efficiency and scalability whilst reducing risk and costs
- Ad-hoc tasks which could include minute taking at senior meetings, following up on actions assigned to different stakeholders, data analysis etc.
- Ensuring all Infrastructure processes and procedures are appropriately documented in the division’s internal wiki-style process repository. This will involve working with process owners to document new processes and ensure any updates or modifications are recorded accurately
Professional Experience and Personal Qualities
Must have:
- Degree or equivalent – 2:1 or above
- Strong organisational skills, ability to multi-task and maintain exceptional attention to detail even when working under pressure
- Reliable, conscientious and professional with high level of professional integrity
- Capable of problem-solving and acting independently but able to work in a team whenever required
- Very strong IT skills to include advanced Excel and PowerPoint; Avaloq know-how would be an asset
- Excellent communication skills – verbal and written; professional manner; ability to articulate complex issues in a clear and concise manner
- Confident working with senior management
- Ability to build and maintain relationships with key internal and external parties
Desirable:
- Experience of wealth management / private banking client segments, products / propositions and channels, either through working in the sector or through a consulting practice
- Hands-on experience of financial services operations, having spent time working directly in a front, middle and/or back office processing role to understand client and trade lifecycles
- Experience of process analysis, design / re-design and documentation for both new process and continuous improvement scenarios. Familiar with the concept of process flow and swim-lane diagrams and basic business process annotation for documenting processes
- Familiar with using AI LLM’s and agents to support your own workload
- Familiar with project management principles including requirements gathering, planning, action tracking and reporting
