Job DescriptionAbout the Role
We are seeking a highly organised and proactive Content Operations Executive to join our team. This role is pivotal in ensuring a seamless experience for speakers, hosts, and stakeholders throughout the event cycle. You will work closely with talent, production teams, and other stakeholders to deliver exceptional content sessions and ensure the success of our events.
Key Accountabilities
Talent and Asset Management
· Maintain concise and professional correspondence with talent, supporting them throughout their speaker journey.
· Coordinate and collate speaker bios, headshots, session descriptions, and track speaker pass registrations.
Stakeholder Collaboration
· Work closely with multiple stakeholders, including content managers, session hosts, talent managers, executives, and communications directors.
· Confidently communicate session details, track updates, and address special requests such as greenroom arrangements, security, and makeup artists (MUA).
Content and Production Coordination
· Collate technical requirements for all content sessions and communicate them to the production team.
· Track updates on the content portal (in-house CMS platform) and maintain the content tracker on Monday.com.
· Proofread talent webpages and marketing assets to ensure accuracy and quality.
Event Preparation and Delivery
· Oversee speaker guest registrations and correspond with applicants.
· Create and maintain rehearsal schedules throughout the event cycle.
· Schedule briefing calls with speakers and their teams.
· Ensure information guides and the speaker hub are up to date.
· Communicate pass and registration details effectively.
Speaker and Audience Experience
· Ensure speakers and audiences have an exceptional experience from confirmation to event delivery.
· Manage post-event communications, including collating feedback, quotes, and sharing photos and footage.
Diversity, Equity, and Inclusion Advocacy
· Act as an advocate and ally for diversity, equity, and inclusion.
· Ensure transparent and equitable engagement processes for speakers, making reasonable adjustments for individual needs where appropriate.
Event Attendance
· Attend Cannes Lions in June to oversee and support event delivery.
QualificationsSkills, Experience & Qualifications Required
● Strong organisational and time management skills, with the ability to manage multiple tasks and meet deadlines effectively.
● Excellent attention to detail, ensuring all deliverables are of the highest quality.
● Proven experience in talent management, event coordination, or a related field, including on-site event management (highly desirable).
● A creative thinker who can confidently generate and develop new ideas.
● Ability to work collaboratively with multiple stakeholders and communicate effectively with individuals at all levels of seniority.
● Demonstrated ability to remain calm and perform well in a high-pressure, fast-paced environment.
