We have an exciting opportunity for a Compliance Assistant to join Norgine in our legal services team.

The person holding this position will report to the Compliance Manager and be a member of the Global Legal team.

The core responsibility of the of the Compliance Assistant is to support compliance related activities and ensure that all corporate compliance matters for all Norgine entities are completed within the deadlines. You will collaborate with Development, Commercial Operations, HR, Finance, IT and other departments. This will be a full time role.


KEY RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

Compliance:

Provide support and services in relation to compliance related activities.

Act as the co-ordinator, organiser and secretary of the Compliance Management Committee and Global Grants and Donations Committee. This includes attending, taking and issuing the minutes in a timely manner and following up on Action Items, and preparing presentation slides in a professional format, when required.

Request, collate and prepare the Bribery declarations bi-annually on behalf of the Executive Leadership Team.

Maintain and update the Compliance related SharePoint site on a regular basis.

Assist with translations of, and the upload of policies, global SOPs and Work Instructions relating to Compliance in the DMS system.

Assist with Compliance Due Diligence assessments and required reviews for third parties including maintaining a list of checks completed and highlighting the required periodic review to be undertaken.

Assist with Compliance Certificates.

Assist with the monitoring of training completion within the TMS system in relation to the Compliance Policies and provide reports as required.

Assist with Compliance related activities in relation to the Norgine Annual Compliance Day.


Company Secretarial:

As part of the CoSec team, assist the Compliance Manager to ensure that all corporate compliance matters for all Norgine entities are completed within given statutory deadlines.

Provide assistance with ensuring that Company Secretarial activities undertaken by Norgine’s principal external Company Secretarial Service Provider and other external providers’ are completed within the scope of their services and within agreed service levels and statutory and other key timelines.

Assist in the budget preparation with principal Company Secretarial Service Provider and other external providers and ensure that services are done in a cost effective manner. Ensure alignment of external providers’ services with the Norgine CoSec KPIs.

Provide assistance to ensure good corporate governance of the entities within the Norgine Group:

Assist with ensuring annual financial statements of the Norgine entities are adopted and filed in compliance with applicable deadlines.

Assist with changes to Norgine Directors and authorised signatory delegations in accordance with the Norgine policy.

Maintain Company Fact Sheet and authorised signatory charts for Norgine Group companies.

Relationships:

Regular contact with personnel within the Global Legal Team and in all Norgine departments and locations including with senior management.

Cross functional working with Development, Commercial Operations, HR, Finance, IT and other departments.

The Compliance Assistant will be exposed to information regarding highly confidential, sensitive and/or strategically important issues; the ability to maintain such confidentiality and to exercise appropriate discretion, both within and especially outside the Company, is essential.

The Compliance Assistant plays a key supporting role often involving liaising between the Global Legal Department staff, company staff and external parties/agencies. The Compliance Assistant is required to have tact and discretion, as well as the ability to see things through in a pro-active manner. Services need to be provided in a supportive, helpful and professional manner.



Requirements

Educated to ‘A’ level standard minimum.

Expert skills in Microsoft Outlook (including mail, contacts, tasks and calendar), Word, Excel and PowerPoint and familiarity with SharePoint a must

Consistent attention to detail

Ability to work as part of a team with strong interpersonal skills

Ability to work unsupervised

Excellent organisational skills, including timeliness and ability to prioritise workload

Excellent communication skills

Team working and strong interpersonal skills
