About the role

We are looking for a highly organised and detail‑driven Financial Planning Assistant  to support our advisers throughout the full client journey. This role is central to ensuring a smooth, compliant, and professional experience for clients from initial prospect stage through onboarding and ongoing servicing.

You will work closely with advisers, providers, and clients, managing all administrative and technical preparation required for adviser meetings, new business submissions, and client onboarding to SPF Wealth.

Main ResponsibilitiesClient Journey & Prospect Management

• Manage the full administrative client journey from prospect through to onboarding and ongoing servicing.

• Coordinate all preparation for adviser meetings, ensuring files are complete, accurate, and fully ready for review.

Policy Information Gathering & File Preparation

• Extract and collate policy information from platforms, ceding providers, and existing providers.

• Input all relevant policy, plan, and valuation data into client files for adviser assessment.

• Ensure all missing or additional information requirements are identified and proactively requested.

Fact Find & Onboarding Documentation

• Complete fact-find forms based on client-provided information.

• Prepare all sign‑up documentation, including application forms and compliance paperwork.

• Conduct full AML/KYC checks in line with SPF and FCA standards.

• Manage Adobe Sign processes, including form preparation, sending, tracking, and follow‑up.

Technical Support for Adviser Meetings

• Use FE Analytics to analyse policy information and holdings.

• Build Voyant models for advisers for second/third‑stage meeting preparation.

CRM Management & Pipeline Tracking

• Maintain accurate CRM records for new business and pipeline updates.

• Assist advisers with pipeline monitoring and outstanding requirements.

• Handle new business submissions and case progression tracking.

Onboarding to SPF Wealth

• Track transfers, contributions, withdrawals, and platform/provider updates.

• Provide advisers and clients with regular updates on transfer progress and platform activation.

• Prepare all compliance documentation for file-checking prior to adviser sign‑off.

Liaison With Providers & Third Parties

• Act as the primary administrative contact for ceding providers and investment platforms.

• Chase transfer updates, valuations, outstanding requirements, and case progress.

Key Skills & Attributes

• Excellent organisational skills with the ability to manage multiple cases simultaneously.

• Strong communication skills—professional, clear, and client‑focused.

• High attention to detail and accuracy.

• Proficiency with CRM systems and Microsoft Office.

• Ability to build strong relationships with clients, colleagues, and providers.

• Proactive, solution‑focused approach with strong ownership of workload.

Experience & Qualifications

• Experience in wealth management, financial planning, or related financial services.

• Previous experience managing cases from inception to completion.

• Knowledge of pensions, investments, and protection products is advantageous.

• Relevant financial services qualifications (e.g., CII) is beneficial but not essential.
