Provides firmwide administrative support for client onboarding and invoicing. Responsibilities include drafting and finalizing invoices, adding jobs to the client management system, coordinating with fee earners and compliance teams, supporting credit and re-issue processes, maintaining audit compliance, and closing records promptly while delivering a positive internal client experience.
The Client Operations Administrator will provide a fundamental service to fee earners across the business, as part of the Client Operations Team which sits within Business Services (Newmark GE Services LLP). The team will oversee, manage and action all firmwide onboarding and invoicing across rating, advisory/consultancy and agency/transactional services. This role will have a firmwide remit and in time may become a SME in a particular work type.
Main responsibilities
- Ensure all invoices are drafted and finalised in a timely manner
- Ensure all jobs are added to the client management system within 7 days of instruction
- Support the Client Operations Team Leaders & Manager by ensuring work is completed to a high standard.
- Support Team Leader by following up with fee earners and advising on expectations, requirements and process for onboarding and invoicing.
- Ensure you remain compliant for internal and external audits.
- Deliver a positive experience to the business during the onboarding and invoicing phase.
- Ensure you maintain regular communication with our compliance team to support the onboarding process.
- Supporting the credit and re-issue process.
- Ensure prompt closure of records when required.
