ROLE TITLE: Business Support Administrator

REPORTING LINE MANAGER: Chief of Staff, AATL/eVessels

 

ROLE OVERVIEW:

As a Business Support Administrator, you will provide high-level administrative and organisational support to the Chief of Staff and leadership team at Artemis Technologies.

As a key member of the team, you will ensure smooth day-to-day operations by managing diaries, coordinating travel, and supporting meetings and events. The Business Support Administrator will be highly organised, detail-oriented, and adaptable, with a proactive approach and a strong desire to learn and grow within the organisation.

 

KEY RESPONSIBILITIES/ACCOUNTABILITIES:

 Diary & Travel Management

  • Assist with scheduling and managing calendars across multiple time zones.
  • Book travel and accommodation in line with company policies.
  • Ensure itineraries and logistics are accurate and communicated clearly.

 

Meeting & Event Support

  • Help schedule meetings and keep calendars up to date.
  • Prepare simple agendas and assist with follow-up actions.
  • Take clear notes during meetings and share minutes when needed.
  • Support team events and on-site visits, including arranging catering.
  • Book meeting rooms and check availability.

 

Communication & Administration

  • Draft clear, professional emails and documents.
  • Act as a friendly, professional first point of contact for internal and external stakeholders.
  • Manage incoming and outgoing post, including registered mail.

 

Reporting & Documentation

  • Update weekly deliverables and maintain digital display screens.
  • Assist with preparing presentations and basic reports.
  • Raise purchase quotes and purchase orders on the ERP system.
  • Complete expense reports accurately and on time.

 

Operational Support

  • Monitor and replenish kitchen and office supplies.
  • Coordinate staff accommodation at Artemis apartments, liaising with cleaners and estate agents for maintenance.
  • Manage apartment keys and related logistics.

Additional Responsibilities

  • Undertake any additional tasks as requested by your Line Manager or the Senior Leadership Team.
  • Due to the operational support required of this role it is expected that this is a full-time on-site role.

  

KNOWLEDGE AND SPECIALIST SKILLS:

Education & Experience:

  • Graduate or an administrator with a minimum of 3 years’ experience
  • Comfortable using Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint).
  • Experience with travel booking and/or expense systems is desirable.

 

Key Skills Required:

  • Highly organised with strong attention to detail.
  • Good written and verbal communication skills.
  • Professional, discreet, and approachable.
  • Able to work independently and manage multiple tasks.
  • Willing to learn and grow in a fast-paced environment
