Supporting the Chief Operations and Technology Officer (COTO)

Position Overview

The Business Manager will play a pivotal role in supporting the COTO by ensuring the efficient operation of the COTO function’s day-to-day activities. The job holder will be responsible for putting in place clarity, rigour and discipline around the delivery of strategy and governance to ensure we deliver on our ambitious targets. The number one priority will be to create a new operating rhythm to track and support delivery, a greater flow of information and hands-on execution of important initiatives for the COTO function.

We are therefore creating this new role to support the COTO and the COTO Senior Leadership team [SLT] as a collective to deliver this remit. This role will require someone with a combination of strategic, project management, analytical and communication skills – how you do things is often as important as what you do.

You’ll need to be an energetic and driven person willing to roll up your sleeves and get things done. You will come up with ideas and solutions rather than problems and will be able to collaborate with people of all levels in the organisation. Vision, enthusiasm and focus are required but also communication and the ability to work effectively across our business units and connect the dots.

What You’ll Be Doing

  • Operational Support: Run the COTO office: Establish reporting cadence and standards for all GEC, Committee, Board and Governance papers. Together with Executive assistant, ensure the annual calendar and meeting communication is aligned and up to date. Ensure appropriate follow-up on any relevant issues.
  • Strategy & Planning: Support the COTO with the development of annual strategy plans and all board updates, including the articulation of business ambition, priorities, key investments and the roadmap to deliver.
  • Project Management: Lead and manage various projects that arise during the year from initiation to completion.
  • Reporting and Analysis: Prepare detailed reports and analyses for the COTO to support decision-making processes. Provide insights and recommendations based on data-driven analysis.
  • Presentation Preparation: Prepare or facilitate the preparation of presentations, as required.
  • Budget Management: Plan and manage the business planning process for the function in cooperation with the COTO SLT and the Finance team; both short term (12 months) and medium-term (3-year horizon). Assist in the development and management of budgets, monitor expenses, and ensure financial targets are met.
  • Stakeholder Communication: Serve as a liaison between the COTO and other functions, ensuring clear and effective communication across the organisation.
  • Compliance and Risk Management: Ensure an effective governance framework is in place and identify and mitigate potential risks.
  • Advisor/Gatekeep: Act as gatekeeper for the COTO to preserve their time, where possible solving problems effectively and quietly; keep on top of corporate and external developments and proactively identify and direct the COTOs attention to topics which need to be addressed.

  • You’ll have led or taken a leading role in complex projects with diverse stakeholders
  • You’ll possess strong negotiating and influencing skills, be confident advising senior teams and be able to present complex data and arguments in ways that are accessible to everyone.
  • You’ll have experience operating as a trusted adviser and delivering through others.
  • You’ll be commercially minded with fantastic people and stakeholder management skills.
  • You’ll be comfortable working  in a fast-paced, constantly adapting organisation and able to navigate the additional complexities of a matrixed organisation.
  • Your communication and influencing skills will be strong as you must be able to communicate with different stakeholders.
  • You will have a strong understanding of business operations, management principles, and best practices.
  • You’ll have knowledge of financial principles and budget management.
  • You’ll possess a high level of integrity, professionalism, and confidentiality.
