We’re seeking a future team member for the role of Associate, Senior Administrative Assistant. This role is located in London.

  • Supports one or more managers (up to level MD) and/or a moderately sized team (typically 6–10), handling advanced, often complex administrative tasks with autonomy over time management and methods.
  • Manages core admin operations: calendars, meetings (agendas/minutes), travel, calls/visitors, inquiries, filing/organization; may extend to event planning, bookkeeping, word processing, and data entry.
  • Interfaces daily with manager(s)’ direct reports and team; occasionally engages leadership; triages requests, prioritizes competing demands, and escalates urgent issues appropriately.
  • Exercises discretion and problem‑solving to troubleshoot diverse issues; anticipates needs and adjusts routines as required.
  • Conducts research; compiles, analyzes, and summarizes information for reports/correspondence; prepares draft communications and materials for review.
  • Coordinates seminars, workshops, and conferences (materials, logistics, scheduling) and undertakes ad hoc/special projects that may span multiple teams.
  • Contributes domain‑relevant support aligned to functions like HR, Risk, or Finance; may assist with budgets, presentations, complex data reviews, billing/expenses, and supply management.
  • Leverages internal networks and liaises with other managers to gather/validate information; ensures timely, accurate, high‑quality completion of work and supports team goal achievement.
  • Uses standard business software at an intermediate to advanced level (email, documents, spreadsheets); may advise/train newer or less experienced team members; has no direct reports.
  • Demonstrates effective collaboration, communication, tact, diplomacy, and confidentiality with internal and external contacts; primarily focused on day‑to‑day/weekly execution while delivering longer‑term initiatives as requested.

Requirements:

  • The successful candidate should be organised, efficient and capable of working to instructions with minimum supervision 

  • Ability to work to tight deadlines, prioritising tasks accordingly.

  • Extensive diary management experience, including the ability to proactively manage diary conflicts and short notice diary changes.

  • Strong project management skills, supporting effective tracking of tasks through to successful completion.

  • Excellent organisational skills in order to support the effective storage of electronic and paper records associated with the role.

  • Demonstrate sound judgment and good decision making when dealing with problems – able to solve challenging problems.

  • Strong communication skills (both written and verbal) and strong interpersonal skills.

  • Proven experience of successfully managing internal and external stakeholders both by telephone and face to face, including leveraging influencing skills to achieve role objectives.

  • Operate effectively and collaboratively as part of a wider team of assistants both within legal and wider executive/business stakeholders.     

  • Proactive in building and maintaining strong working relationships that support effective completion of role.
