Assistant Workspace Experience and Operations Manager - London Region

Role Type: Part-time (25 hours per week) Monday - Friday 9am - 1pm

Role Purpose:

Management and oversight of two Client sites within the London Region.  Responsible for building strong and effective relationships with key customer stakeholders and overseeing the integrated workplace service delivery including engineering and cleaning.

The key focus for this role will be acting as the main point of contact between on site clients and the JLL wider team, supporting with access arrangement for visiting contractors remotely and on occasion in person.

The role will require the individual to assist with the management of Security Guard Bookings each week. Not limited to the two buildings, this is an administrative duty to support our wider team. 

This is an exciting role for an individual with a track record in a customer-focused service delivery role, who thrives on building strong relationships, driving service excellence, and delivering measurable outcomes.

What this job involves:

Service Delivery

  • You will be responsible for managing the service delivery across both sites.

  • Be accountable for the successful delivery of the building services in line with agreed frequency's.

  • Be a proactive communicator with all key stakeholders within JLL and the client.

  • Liaising with the team and other key stakeholders ensuring they are fully informed about operational issues which may arise.

  • Support with recommendation to better processes and procedures to improve building and facilities management.

  • Be Safe Aware - Carry out on site audits and inspections in line with JLL business management systems and standard processes and ensure the actions database is updated on a regular basis.

Administrative & Reporting Responsibilities

  • Process and coordinate weekly guarding requests for out-of-hours (OOH) works to support wider team.

  • Generate operational reports as required for account management purposes.

Health & Safety Compliance

  • Work closely with WE&O Manager to ensure necessary risk and safety assessments are carried out and aby remedial actions are closed out timely.

  • Conduct regular site audits and inspections in line with JLL business management systems.

  • Ensure compliance with JLL and client Health, Safety, Environment and Risk Management policies.

Stakeholder Management

  • Maintain effective communication with on-site teams and regional management

  • Support client relationship management activities

  • Coordinate with service providers to ensure contractual obligations are met

What your day-to-day will look like:

  • Monitor service delivery performance across assigned sites.

  • Review and update operational dashboards and KPI tracking.

  • Process guarding requests and coordinate OOH work schedules.

  • Conduct site visits and inspections as required.

  • Support fire risk assessment processes and compliance activities.

  • Liaise with regional WE&O managers on operational matters.

  • Ensure effective work order management for maintenance and service requests.

Required Skills and Experience:

  • Previous experience in facilities management or operations support roles.

  • Strong organizational skills with attention to detail.

  • Ability to work independently and manage multiple priorities effectively.

  • Experience with operational reporting and dashboard management.

  • Basic understanding of health and safety compliance requirements.

  • Strong PC literacy and ability to manage activities using various systems.

  • Excellent written and verbal communication skills.

Desired Experience:

  • A self-motivated individual able to anticipate customer’s needs.

  • Experienced in client relationship management and a good communicator.

  • Knowledge of vendor management for specialized services.

  • Proficient in excel and used to working in commercial environment.
