How we work

CitySwift is headquartered in Ireland, with our second office hub in London. We also have team members based in Australia, Singapore and across parts of the EU.

Hybrid working is the default in Ireland (with some exceptions), with remote and hybrid options across the UK and beyond. All roles have core hours of 10am to 4pm, giving you flexibility around how you structure your day. Collaboration really matters to us, with quarterly and bi-monthly meet-ups depending on your department or area of work, but we’re sensible about it – we won’t ask you to come into the office to tick a box. Our offices are designed for proper collaboration (and are dog friendly!).

We also believe trust and rest matter. Annual leave starts at 25 days, and our work abroad programme gives you the option to work from another country for up to six weeks. We move fast, expect a lot from each other and back people to do their best work.


The Role

CitySwift is scaling quickly, and so is the complexity of how we operate. We are hiring an AI Enablement & Internal Operations Manager to act as the organized, detail-oriented "internal engine" of the business. This role is designed for a tech-savvy administrator who can sit at the intersection of technology, systems, process, and people. You will act as the bridge between our Tech team and the wider business, taking ownership of core operational initiatives. While the COO focuses on customer success and commercial outcomes, you will ensure our internal administrative machine runs smoothly and our digital filing is pristine. Crucially, you will lead our AI enablement efforts, ensuring we are aggressively leveraging AI efficiencies to automate routine tasks, maintaining our suite of internal AI tools, and identifying new opportunities to streamline operations through emerging technology.

Key Responsibilities

AI Enablement & Internal Productivity 

  • Drive Internal AI Adoption by leading the internal rollout of AI and automation tools to maximise operational productivity & ensure the company is demonstrating operational efficiency
  • Identify and implement AI and automation opportunities specifically designed to reduce manual effort, improve consistency, and deliver measurable cost or capacity savings
  • Translate ad-hoc AI experimentation into governed, repeatable use cases across all internal departments.
  • Take ownership of internal AI tools and bots, ensuring they are consistently fed with accurate, updated background information and integrated seamlessly into daily workflows.
  • Execute early AI or automation "quick wins" within the first 3 months to provide immediate, tangible efficiency and cost savings.
  • Continuously map and improve core operational processes by identifying bottlenecks where AI or workflow tools can replace manual administration.

Cross-Company Administration & Operations

  • Take responsibility for cross-functional organisational projects to ensure cohesion between departments.
  • Coordinate delivery across Tech, Product, Sales, Marketing, Customer, and Finance teams.
  • Introduce structure, timelines, and accountability to complex, multi-team workstream
  • Ensure digital filing systems are highly organised, correct, and actively maintained.
  • IT Security Maintenance & Compliance
  • Keep up with and maintain the IT security measures and infrastructure already established by the Tech team.
  • Partner closely with the Tech team to support CitySwift's ongoing security and resilience.
  • Assist with administrative tasks related to access management, GDPR, and broader compliance requirements.

Systems & Tooling Execution

  • Drive the administrative and operational rollout of HubSpot for post-deal Customer Success.
  • Ensure a clean handover and accurate data flow from pre-deal Sales teams within the CRM.
  • Audit the existing tech stack to identify integration gaps or usability issues.
  • What We're Looking For
  • A highly organised, structured, and outcome-driven professional with a strong administrative focus.
  • Experience in Operations, Business Operations, or administrative coordination, ideally within B2B SaaS.
  • Confident operating in ambiguity
  • Hands-on experience with AI tools, automation, or workflow administration.
  • Experience with HubSpot (Sales Hub and/or Service Hub) is highly desirable.
