Your Role at Husqvarna UK

We are looking for a Service Coordinator to join our growing after sales and service team, reporting to the Service Centre Manager - South

Based in our Grays service centre, this is a full-time position with responsibility for the coordination and administration of all plant and machinery associated with the Husqvarna Construction service centres.

Key Responsibilities & Tasks:

  • Process job requests and work orders from customers and internal teams.

  • Schedule and coordinate service visits for field engineers or in-house technicians.

  • Maintain accurate service records, logs, and asset histories.

  • Generate and update service documentation (job sheets, inspection reports, certifications, etc.).

  • Track service jobs through to completion and ensure timely follow-up.

  • Arrange collection of customer machines for service and repair

  • Be the first point of contact for customer queries related to servicing, repairs, and job status.

  • Provide professional and timely responses to enquiries by phone and email.

  • Communicate service updates, ETAs, and job completions to customers.

  • Contact customers to book in HCS and HSC contract requirements for servicing of machines

  • Prepare job quotes and raise invoices using the company’s UpTool system.

  • Support credit control by flagging outstanding payments or service hold conditions.

  • Log parts used and liaise with procurement or stores to restock.

  • Ordering spare parts as required for internal jobs and logging delivery expectations

  • Collate service data and support in the preparation of KPIs and performance reports.

  • Feed into regional performance reviews with insights from service trends, customer issues, or engineer performance.

  • Assist the Service Centre Managers in implementing operational improvements or compliance processes.

  • Work closely with the Northern service team to ensure consistent admin support and share best practices.

  • Provide remote admin support to the Northern site when required (e.g., cover for absence, special projects).

What We’re Looking for

  • Strong organisational and time-management skills.

  • Excellent communication – able to deal confidently with customers and internal teams.

  • Proficiency with MS Office and service management software (e.g., Joblogic, BigChange, simPRO – or UpTool).

  • Ability to multitask and handle competing priorities calmly.

  • Strong attention to detail and process-driven.

  • Prior experience in a service admin or service coordinator role, ideally in engineering, construction, or equipment servicing.

  • Understanding of health & safety and compliance documentation (advantageous).

  • Experience working in a regional or multi-site reporting structure.
