Job Description:

The Administrative Coordinator supports the curricular, research, and professional service activities of the department's programs and provides administrative and financial support to faculty in several specific research groups. Working independently, the incumbent will plan and maintain financial oversight of the many high-profile events the Department of Computer Science hosts each year. In addition, they will provide administrative support to faculty, assisting them with submitting expense reimbursements, generating and sending recommendation letters, and addressing other administrative needs as requested. The Administrative Coordinator will work closely with faculty, managing course extensions, processing dean’s notes, and interfacing with students regarding homework and project due dates.

The incumbent will be expected to assist at the department's annual commencement ceremony at least once per year. Attendance at events outside of normal working hours may be required.

The position is hybrid-eligible based on the department's needs.

Education and Experience:

  • Bachelor's degree with 1-2 years of related experience or equivalent combination of education and experience.

  • Financial experience is preferred.  Experience of working in an academic higher education institution is desirable.

  • Experience in coordinating large-scale events with attendees ranging from faculty, students, alumni, and respected colleagues from other institutions.

  • Proficiency in document preparation, spreadsheet, and database programs (Excel and Google Sheets).

  • Proficiency in Microsoft Office Programs (Word, PowerPoint), web-based programs and

  • tools, Gmail and related Google applications, and Adobe Acrobat Pro.

  • Excellent interpersonal, verbal, and written communication skills to elicit and communicate information, and to prepare /present clear, informative, and concise materials.

  • Ability to handle sensitive matters with tact and diplomacy and maintain confidentiality.

  • Able to work independently and escalate issues as needed.

  • Strong organizational and time-management skills.

  • Must be flexible and willing to work in a fast-paced academic environment.

  • Ability to work under pressure in a deadline-oriented environment.

  • Ability to work independently and as part of a team.

  • Personal initiative and motivation.
