About this role

BlackRock is recruiting for a dynamic Administrative Assistant for the Global Trading group. This position is based in our London office. The role reports into the Global Trading as well as other senior leaders in London. We are looking for a great teammate with a positive attitude, deeply motivated, has an interest to keep learning and growing, as well as being very organized.

Key Responsibilities:

  • Calendar management and administration for senior leaders, including the complex coordination of meetings and video conferences with multiple participants across global time zones
  • Organize and handle logistics for internal/external meetings, team events, strategy sessions, and conferences (securing conference rooms, placing catering orders, registering guests and ordering office supplies)
  • Ability to demonstrate flexibility and problem-solving skills to adjust and prioritize schedules based on last-minute changes
  • Provide support in the organization and compilation of materials for various committees and meetings
  • Anticipate necessary background material ensuring team members have everything they need in advance of their meetings including a detailed travel itinerary, air, hotel, cars, directions, presentation books, verified meeting addresses, contact information, etc.
  • Use Microsoft Word, Excel, and PowerPoint to produce presentations and regular reporting responsibilities
  • Arrange and oversee domestic and international travel (flights, hotels, cars, visas if required) using Concur
  • Processing Gifts & Entertainment records and Expenses using Concur and G&E System
  • Provide back-up coverage for team members; Represent the team by greeting visitors and guests and answering multiple phone lines
  • Build and maintain good business relationships with executives and administrative staff across the organization

Core Skills:

  • Proficient in MS Outlook, Word, Excel, Outlook and PowerPoint
  • Comfortable with using these tools to capture data
  • Experience in administration and calendar management in a fast-paced environment
  • Excellent organizational skills and time management, while maintaining a detail orientated approach
  • Proficiency working with automated expense tracking and online travel; experience using Concur preferred
  • Ability to multi-task, prioritize tight deadlines and flexibility to meet workload
  • Self-starter with ability to work independently, anticipate needs and make sound decisions with minimal direction
  • An effective team player, able to thrive and work with senior management under highly demanding conditions and partner with other Assistants
  • Excellent verbal, written and interpersonal skills
  • Absolute discretion and appropriate handling of highly sensitive and confidential information alongside demonstrating the highest standard of conduct, performance, and business ethics
  • Capability to work in partnership in a team environment and to dedicatedly assist others as needed
  • Experience in financial services supporting senior management preferred, but not required

You have:

  • Bachelor’s degree
  • 3+ years of professional / corporate or administrative experience preferred
  • Experience in roles that work with external clients and executive management
  • Experience in a dynamic corporate environment and experience in the financial services industry is a plus
