Position Overview
The Administrative Assistant will be based on Reception, working closely with our Reception Manager to provide essential front-desk, administrative, and office support, serving as the first point of contact for visitors, contractors and callers. The Administrative Assistant will also provide support to a team of investment and operations professionals at junior levels.  This role supports daily office operations and administrative functions, requiring strong organizational skills, professionalism, and a service-oriented mindset. The position is well suited for an early-career professional seeking exposure to a corporate office environment.

Responsibilities        
The Administrative Assistant will be responsible for the following:

Reception & Front Desk Support

  • Serve as the primary point of contact for visitors, clients, and contractors, greeting guests in a professional and welcoming manner.
  • Answer and route incoming phone calls, emails, and general inquiries, ensuring timely and accurate responses.
  • Manage reception area appearance, ensuring a clean, organized, and professional environment at all times.
  • Coordinate visitor access, meeting room reservations, serving refreshments and on-site logistics as needed.
  • Support day-to-day office operations, including mail distribution, office supply inventory, and coordination with building management and vendors.

Administrative Assistant Support

  • Provide administrative support to a team of junior executives, requiring extensive calendar scheduling, meeting coordination, and travel management.
  • Prepare and complete expense reports in multiple currencies, and tracking / organizing expense reports.
  • Assist with onboarding logistics for new hires, including workspace setup and coordination of office access.
  • Partner with Executive Assistants and management to provide coverage and support across the office as needed.
  • Participate in office initiatives, events, and projects as assigned.
