Reporting to Business Support Supervisor, the Administrative Assistant will provide first line support to multiple levels of Executives and staff in the UK and overseas office locations, building relationships and acting as first point of contact for travel, administrative and facility-based tasks. They will work collaboratively with their supervisor to plan, develop and carry out projects, to help ensure the smooth running of the office.

Office based position - working from home possible when there is no impact to the business.

Key Responsibilities:

  • Manage travel bookings for senior staff and provide travel related assistance for all other staff.
  • Expense management for VPs and assist staff with general expense queries
  • Contracts and legal document handling, arranging signings and legalisation as necessary.
  • Corporate credit card management for EMEA and all related matters
  • Courier bookings
  • Mail scanning, distribution and retention
  • Running errands relating to meetings, including ordering/ collecting lunches and set up
  • Ordering corporate stationery, business cards and promotional items
  • Ordering groceries for the office
  • Liaise with existing suppliers and engage new suppliers to ensure preferential rates for all office services.
  • Ad-hoc project work
